How Often Do AI Automation Tools Need Updates?
More often than most providers tell you, and less often than you'd think if you've been burned by brittle tech before.
Here's what actually requires updates:
Business rule changes. Every time you change your pricing, add or remove a service, update your hours, hire a new staff member who handles certain types of calls, or change your service area, the automation needs to reflect that. This isn't a technical update. It's a content update. If your AI receptionist is telling people you close at 6pm and you now close at 7pm, that's a problem.
API and tool updates. When one of the tools in your automation stack updates its API or changes how it handles data, automations can break. This happens a few times a year and is usually fixed within hours or days by a provider who's monitoring for it.
New edge cases. You'll encounter scenarios that weren't anticipated when the system was built. A caller who asks something the script doesn't handle. A booking type that wasn't planned for. These get addressed as they surface.
Performance optimization. As you accumulate data on how the automation is performing, there are adjustments that improve results: better timing on follow-ups, refined qualification questions, higher-converting review request messages.
For a well-built, stable system, expect substantive business-rule updates once every few months and minor tune-ups monthly.
