How to Get Started with AI Automation: Step-by-Step Guide

Getting started with automation is simpler than most guides make it sound. The problem is that most guides start with tools. You should start with problems.

Step 1: Name the three things costing you the most time or money right now.

Not hypothetically. Specifically. "I spend two hours a day on phone calls I could have avoided." "We lose about 20 percent of leads because we don't follow up fast enough." "Our review count hasn't moved in six months." Write these down. These are your targets.

Step 2: For each problem, identify where in your workflow it originates.

A slow response time is a lead intake problem. A no-show rate is a reminder problem. A stalled review count is a timing and ask problem. Understanding the root of the problem tells you where to build.

Step 3: Start with one automation, not five.

The temptation is to automate everything at once. This always creates a complicated, fragile system that breaks and doesn't get fixed. Pick the one problem with the highest cost and build there first.

Step 4: Choose tools that match your existing stack.

If your business runs on Google Workspace, a booking tool, and a simple CRM, your automation should connect those. Adding new tools creates friction. The best automation makes your existing tools smarter, not more numerous.

Step 5: Test before you go live.

Walk through every scenario yourself before pointing real customers at it. What happens when someone asks a question outside the script? What happens when they want to cancel? Edge cases need answers.

Step 6: Monitor and adjust for 30 days.

No automation is perfect on day one. Watch what happens, identify gaps, and fix them. After 30 days, it runs without intervention.
